How It Works — Volusia AI Network Deployment Process in Daytona Beach

How a voice agent, chatbot, or automation deployment actually runs — from intake call to live system. Typical timeline: 2-5 weeks. No surprise fees, no rolling scope, no long retainer contracts.

The four-phase deployment

Every Volusia AI Network deployment runs through the same four phases. The exact timeline varies based on scope — a single voice agent for a solo practice is 2 weeks; a full automation package for a multi-provider practice is 8-10 weeks.


Phase 1 — Intake call (30-60 minutes, free)

One call. No deck, no slide share, no sales team. Direct conversation about:

  • What your current call / booking / workflow pain actually is
  • Where the inbound pressure is coming from (phone, web, referrals, both)
  • What systems you run now (practice management, PMS, calendar, CRM)
  • What a realistic deployment would look like for your operation
  • Whether this is a fit (sometimes it isn’t — we’ll tell you)

If the fit is real, we move to phase 2. If it isn’t, we’ll point you at something that is.

Cost: $0. Timeline: whenever you can get on a call.


Phase 2 — Scope + proposal (3-5 business days)

After the intake call, you get:

  • A written scope document with exactly what’s being built
  • A written proposal with fixed one-time setup cost + fixed monthly cost
  • A rough integration list (Dentrix, Clio, OpenTable, whatever applies)
  • A timeline estimate in business days

No “starting at” pricing. No surprise scope additions once work starts. If scope changes after the fact, we re-quote — we don’t just add it to the bill.

Cost: $0. Timeline: proposal in your inbox within a week of the intake call.


Phase 3 — Build + integration (1-6 weeks depending on scope)

Where the actual work happens. Typical build includes:

  1. Deep-dive session. 60-90 minutes on your policies, intake questions, escalation rules, FAQ, pricing, providers/staff, known edge cases. This is the single most important hour of the deployment.
  2. Agent scripting. We write the agent’s greeting, intake flow, FAQ responses, escalation policy. You review. We revise.
  3. Integration wiring. Calendar, practice-management, CRM, PMS — whatever systems the agent needs to read/write. We test each integration before we hook it up to the agent.
  4. Test-call round. We synthesize 20-40 test calls covering likely scenarios. You listen to a sample. We tune based on what you hear.
  5. Soft launch. Agent goes live in parallel with existing processes. You or your front desk handle primary; agent handles overflow. We review call logs weekly.
  6. Full cutover. Main number rings to the agent. Escalation paths live. Staff gets text alerts for calls that need them.

Throughout the build, you talk to me directly. Not an account manager. Not a project coordinator. Me.

Cost: fixed setup fee from phase 2. Timeline:

  • Single voice agent or chatbot: 7-14 days
  • Full receptionist + booking + automation package: 4-10 weeks

Phase 4 — Running live (ongoing)

Once live:

  • Week 1-2: Daily log review. We catch wrong answers, awkward phrasing, or edge cases the agent fumbled. Tuning pass.
  • Week 3-4: Weekly review. Smaller tuning, mostly confirmation that it’s handling real traffic correctly.
  • Ongoing: Monthly check-in. Any new pattern we should know about (new provider, changed policy, seasonal volume shift)? We update the agent.

No upsell pressure. No surprise “tier upgrade” fees. You pay the monthly quoted in phase 2.

If you want to pause, pause. If you want to cancel, cancel. Month-to-month after setup.

What we need from you

Every deployment succeeds or fails based on the depth of the intake conversation in phase 3. We need:

  • 60-90 minutes of your time, uninterrupted, ideally with the person who actually runs your front desk in the room
  • Access to your calendar / booking system / practice management to wire integrations (read-only credentials are fine)
  • A real example of 5-10 typical calls — written out, or recorded, or described verbally. The agent learns from these.
  • Clear escalation rules. Who gets the emergency call. Who gets the existing-client call. Who gets the press inquiry. Written down, not guessed at.

If you can give us those four, we can deliver a deployment that actually works. If you can’t, we’ll tell you — because a rushed intake produces a bad agent, and bad agents hurt your business more than no agent at all.
